Improving the efficiency of your company or organization doesn't mean that you have to tear apart what has been working. Sometimes there are parts of a process that can still be used, even when the rest of the process is changed. There is no need to start from scratch each time you start a project. What you want to do is find out what is working and what isn't working.
Often the parts which might be working can be saved and incorporated into the newest process. Remember, the procedure for anything is constructed of many smaller steps. Each step may be broken down, moved around and reworked. It can be much easier to identify what you can do when it is broken down. In any other case if you try to start from the beginning and overhaul your entire process, it can become overwhelming and much too large of a task. This is the best way to handle any project.
You should always break it into smaller, much more manageable pieces to get the most work completed. Trying to visualize and break apart an entire process without looking at every individual step can be frustrating and difficult. Why make a process that is already difficult any more challenging by not breaking it down? When you break down all of the factors that make up the process, it is time to look at each one really closely.
Oftentimes each broken down portion can be broken into more compact pieces still. Now is the time to accomplish this because the more closely you look at the process, the more chance you have to identify something which could be fixed or changed. Breaking it down to the bare minimum and then examining the steps to uncover areas to fix will be the next step and the section of the process that will begin to reveal answers to your questions.
This is the part of the process that will produce the answers that you're searching for. Taking exact measurements and recording them for later is the next step. You want to know how long each process and each step takes. You'll need someone to measure these things and then report them. That way the results can be compared against the ideas that you have for producing modifications. You don't want to make the changes until you are sure that they will really make a difference so you need to model the ideas and get some readings.
